Let’s talk about refresh. 

In the past, employing multi-dimensional data warehouses/marts/cubes necessitated a lengthy project that included the refreshed strategy for several data sources, as well as the extraction, transformation, and loading. This was handled on the front end, which added to the data’s complexity and timing considerations.

While Power BI Services in Pakistan can access multidimensional data sources, it also has the ability to access other data sources (internal and external, public and private) that require a refresh strategy. The refresh settings are inherited with the dataset in some circumstances (Content Packs, for example, Salesforce) and may only be altered by the originator. In other cases, the access is to real-time data, in which case there is no refresh. However, there is a final category in which the user selects the refreshing approach required for the situation. Users evaluating data frequently ask, “This intelligence is good as of what date/time?” Refresh is a vital feature of any business intelligence tool since users frequently query, “This intelligence is good as of what date/time?”

Get your Data 

On Using Power BI’s “Get Data” feature, you can access the data sources that have been set up for that user (SQL tables, spreadsheets, Wikipedia sites, and so on). Power BI builds the data set automatically, which is essentially the data that will be used for the report, visualization, or other presentation to the user. For most datasets that are built, you will have the option to specify a refresh schedule. While this refresh schedule is significant, it is overshadowed by the data source’s refresh schedule. It’s never a good idea to refresh a dataset more frequently than the data source itself is updated. And just because a data source is updated in a timely manner does not mean it is reliable.

Summary of data sources and how they are updated or refreshed 

There are a variety of other data sources available, each with its own set of access methods and refresh choices. We’ll summarise it below, but the prior link contains additional information.

  • On-premise (Live Connectors) with the direct query – SQL tables and Analysis Services – there is no need to refresh because they are live connections to the data sources. These are particularly useful for dashboards and KPI-type charts and graphs, which require near-real-time analysis. Because the real-time query feature may have performance implications, caution is advised.
  • Online services (e.g., SalesForce) or organizational content packs (created and shared by someone within your company). By default, content packs for online services are updated daily, although this can be changed to match the requirement for refresh. Organizational content packs are inherited with the dataset and are renewed according to the original creator.
  • External online data sources – you can build and adjust a refresh frequency as the dataset is built. As previously noted, this should be coordinated with the source’s update.

Considerations for On-Premise Data Refresh

 On-premise data contains access considerations. This is similar to a VPN or a bridge in that it secures access to data and authenticates the user. A Personal Gateway may be necessary in the case of Power BI. This can be confusing because there is also a Data Management Gateway (DMG) that provides a similar capability and was used to refresh Power BI workbooks prior to July 24, 2015. (however, this was an add-on service to Office 365). Because the two gateways don’t get along, it’s important to remove the DMG before utilizing the Power BI Training in Pakistan Personal Gateway to avoid conflicts and issues.
